Terms of Service

Last updated: July 25, 2026

1. Agreement

By using bootcampletters.com or placing an order, you agree to these Terms of Service. This service is operated by Mailed Words LLC ("Boot Camp Letters," "we," "us"). If you do not agree, do not use our service.

2. The Service

Boot Camp Letters physically writes and mails a letter or card on your behalf, on paper. You provide the recruit's name, branch, and training location, plus the unit details specific to your recruit (platoon, company, ship, flight, or similar) and your message; we assemble the mailing address and produce and mail your order to it. We hand your order to USPS within 1 to 2 business days of payment being confirmed. That mailing window is the only commitment we make about timing; see Section 6 for what happens after it leaves our hands, including the time a training command's own mailroom may add.

3. Acceptable Use

You agree that you will not use our service to send content that is:

  • Threatening, harassing, or abusive toward the recipient or any third party.
  • Defamatory, obscene, or sexually explicit.
  • Fraudulent, deceptive, or impersonating another person.
  • In violation of any applicable law or postal regulation.
  • Spam or unsolicited commercial advertising.

We reserve the right to refuse or cancel any order that violates these terms, at our sole discretion, and to report illegal content to appropriate authorities.

Every order is screened automatically before payment is taken. Screening looks at the email address on the order, the recipient's address, and the text of the message itself. An order that does not pass is stopped at checkout, and no charge is made.

We do not publish what the screening looks for, and we will not identify which part of a refused order caused it. Naming the detail to change is the same as helping someone change it, and the people this exists for already vary their details between attempts. Screening is not perfect. If you were sending an ordinary letter and it was refused, write to us at help@mailedwords.com and we will review it ourselves.

Where an order appears to be part of an attempt to defraud the person receiving it, we may report it to the Internet Crime Complaint Center at ic3.gov, to our payment providers, and to any other appropriate authority. A report may include the message text, the sender and recipient details, the payment record, and the technical records of the order. We may make a report without notifying the person who placed the order.

4. Payment

Prices for each format and any add-ons are shown on the order form and charged in USD, in full, via Stripe. All sales are final once the letter has entered production. Payment is processed by Stripe and subject to their terms of service.

Placing an order authorizes your card but does not charge it. Your bank may show a pending hold for the order amount. We review every order before it is written, and your card is charged when we accept it, at which point Stripe sends you a receipt. If we do not accept the order, the authorization is released and you are not charged. An authorization we have not acted on expires on its own, typically after about seven days; if that happens, nothing is charged and the order is not written.

5. Refunds & Cancellations

All sales are final. Because each letter is custom-written and mailed to order, we do not offer refunds or cancellations once payment is confirmed. Mail that was correctly addressed and never arrived is covered separately by Section 7, which provides a free re-send rather than a refund.

You are solely responsible for the accuracy of the recruit's name, branch, training location, and unit details (platoon, company, ship, flight, or similar) that you enter or confirm at checkout, including in the address preview we generate from your selections. We mail to exactly the address that preview shows, and an order mailed to that address is fulfilled as ordered. We do not offer refunds, replacements, or re-sends for mail sent to an incorrect or incomplete address you provided or confirmed, including outdated unit details or a platoon/company/ship/flight assignment that changed after you ordered. The free re-send in Section 7 is not available for address errors.

If we made an error on our end, such as mailing to an address different from the one you entered or writing the wrong message content, email us at help@mailedwords.com and we will re-send the letter at no additional charge.

6. Delivery

We mail via USPS First-Class Mail within 1 to 2 business days of payment being confirmed. That is the only part of delivery we control, and the only part we commit to.

We ask you to plan on 8 to 10 business days from the date you order, end to end. That figure is our own guidance, not a USPS service standard and not a guarantee. USPS publishes a service standard of 1 to 5 business days for First-Class Mail, which USPS itself describes as an estimate rather than a guarantee, and which USPS does not always meet: by its own published measurements, roughly one piece of mail in five takes longer than that standard. Our 8 to 10 business days figure is deliberately longer than the USPS standard so that ordinary postal variation does not read as a lost letter. We do not guarantee any delivery date, and we do not guarantee that a letter will be received or read.

First-class letters carry no tracking and no delivery confirmation. Neither we, nor you, nor USPS can verify whether a given letter was delivered. Once a letter is handed to USPS we have no control over it, and we are not responsible for delay, loss, or damage in transit. Every envelope on this brand is mailed with the return address you provide at checkout, so USPS may return undeliverable mail to that address, but we cannot track or guarantee this.

We do not provide tracking, and we cannot add it to an order for an additional fee or on request. First-class mail carries no tracking number and no delivery confirmation. That is a property of the postage itself, not a service level we have chosen to withhold. Nobody can confirm whether a specific first-class letter reached its destination: not us, not you, and not USPS. If tracking or proof of delivery is a requirement for what you are sending, this is not the right service for it.

7. Mail That Never Arrives

This section applies where the address you provided was correct and the letter simply never arrived.

We do not issue refunds for non-delivery. Because first-class mail carries no tracking, non-delivery cannot be verified by us, by you, or by USPS, and in most cases the person who paid is not the person who would have received the letter. Neither party can confirm receipt either way.

Your sole and exclusive remedy for non-delivery is one re-write and re-mail of the same order, at no additional charge, at our discretion. If your letter has not arrived 10 business days after you ordered, email us at help@mailedwords.com and we will write it again and put a fresh copy in the mail. We cannot refund mail that nobody can track, but we will gladly send it again. Requesting a re-send is not a request for a refund and does not entitle you to one, and a re-send carries the same delivery terms and the same absence of any delivery guarantee as the original.

This section does not apply to letters mailed to an address you entered incorrectly or incompletely. Those are governed by Section 5, which provides no refund and no re-send.

8. Reply Feature

We may include a reply card or link with your letter allowing the recipient to send a response. Replies are subject to the same acceptable use requirements above. We act as a conduit only and are not responsible for the content of replies.

9. Your Content

You retain ownership of the message content you provide. By submitting content, you grant us a limited license to reproduce it solely for the purpose of producing and mailing your letter. We will not use your message for any other purpose.

10. Disclaimer of Warranties

Our service is provided "as is." We make no warranties, express or implied, regarding delivery times, postal service performance, or any outcome beyond our reasonable control. We do not guarantee that letters will be received or read.

11. Limitation of Liability

To the maximum extent permitted by law, Mailed Words LLC's total liability for any claim arising from use of this service is limited to the amount you paid for the specific order in question. We are not liable for any indirect, incidental, or consequential damages.

12. Governing Law

These terms are governed by the laws of the State of Colorado, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Colorado.

13. Changes to These Terms

We may update these terms at any time. The "Last updated" date reflects the most recent revision. Continued use of the service after changes constitutes acceptance.
