Boot Camp Letters ("we," "us," or "our") is a mail-sending service operated by Mailed Words LLC. We write and mail physical letters and cards on your behalf. You can reach us at help@mailedwords.com.

2. Information We Collect

We collect the following information when you place an order:

Sender information: your name, return address, and email address.
Recipient information: the recruit's name, branch, training location, and the unit details (platoon, company, ship, flight, or similar) needed to address the mail correctly. This is provided by you (the sender), not collected from the recruit directly.
Letter content: the message you ask us to write.
Payment information: processed entirely by Stripe — we never see or store your card details.
Reply information: if a recipient chooses to send a reply, we collect their name and message.

3. How We Use Your Information

To fulfill your order — print, write, and mail your letter.
To contact you about your order status or delivery issues.
To process payment via Stripe.
To deliver any reply from your recipient to you.
To comply with legal obligations.

We do not sell your data. We do not use your letter content for advertising.

4. Data Storage

Order data (sender info, recipient address, message, and status) is stored in our database hosted by Supabase (us-east-1 region). Data is retained for as long as needed to fulfill your order and resolve any disputes, and for up to 3 years for tax and business records.

5. Third-Party Services

Stripe — handles all payment processing. Your payment details go directly to Stripe and are subject to Stripe's Privacy Policy.
Supabase — our database provider. Data is stored in the United States.
USPS — your physical letter is mailed via the United States Postal Service. The recipient's address is printed on the envelope as required for delivery.

6. Cookies & Analytics

We may use basic analytics (e.g., page views) to understand how visitors use our site. We do not use advertising cookies or cross-site tracking.

7. Your Rights

You may contact us at any time to:

Request a copy of the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your data (subject to legal retention requirements).

8. About the Recruit

Our website and checkout are directed at the family and friends of a recruit, not at the recruit, and the recruit does not use our site or submit information to it. The sender provides the recruit's name, branch, training location, and unit details solely so we can address and mail the order. Our service is not directed to children, and we do not knowingly collect personal information directly from children under 13.

We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of our service after changes constitutes acceptance of the updated policy.
